Who we are
Pathir is run by Pathir Ltd (company number 16779893, 124 City Road, London, EC1V 2NX). For our own customers (the businesses that sign up) we are the data controller. For the people who contact those businesses through Pathir (their customers and patients), the business is the controller and we process data on its behalf as a processor.
What we collect
- Account details: your name, email, phone number, business details and your business website.
- Business information you or your website give us to set up your receptionist, and your feedback and training.
- Conversations handled for your business: call transcripts and recordings, text messages and emails, with the contact details customers share (such as names, phone numbers, postcodes and booking details).
- Calendar and practice data you connect (Google Calendar or Cliniko), used only to check availability and manage bookings, and to verify a patient's identity before sharing anything private.
- Billing details, handled by Stripe. We never see or store full card numbers.
- Usage data such as when you log in, to keep the service secure and improve it.
How we use it
To provide the service (answering, booking, reminders, review requests and summaries), to support you, to bill you, to keep Pathir secure, and to improve the product. Our legal bases are performing our contract with you, our legitimate interests in running and improving Pathir, and legal obligations. We don't sell personal data.
Who we share it with
Trusted providers who help us run Pathir, under contracts that protect your data: cloud hosting, telephony (phone numbers, calls and texts), voice and transcription, AI language processing, email delivery, payments, and the calendar or practice software you choose to connect (such as Google Calendar or Cliniko). A full list of these sub-processors is available to customers on request. Some of these providers process data outside the UK, including in the United States; where they do, we rely on appropriate safeguards such as the UK International Data Transfer Addendum or Standard Contractual Clauses.
How long we keep it
We keep your data while your account is open. If you delete your account, we delete your business data, conversations and customer records. Billing records are kept as long as the law requires.
Cookies and advertising
Our website only sets analytics and advertising cookies if you accept them in the cookie banner. If you do, we use Google (Analytics and Ads), Meta (Facebook and Instagram), LinkedIn, TikTok and Microsoft Advertising to measure visits and to show you Pathir ads on other sites. If you reject, none of these load. You can change your choice any time with "Cookie settings" at the bottom of any page. The app itself (app.pathir.com) only uses the cookies needed to keep you signed in.
Your rights
You can ask to access, correct, delete or move your personal data, or object to how we use it. Customers of a business using Pathir should contact that business first. You can also complain to the Information Commissioner's Office (ico.org.uk).
